The success of your convention depends largely on its early groundwork. The Convention Services Department will assist you in finalizing all details with regard to accommodations and meeting facilities. We can make suggestions on how to organize your meeting, what committees you will need and what their functions should be. We can also pass along sure-fire ideas to help you create the right environment for productive, professional meetings and memorable times after hours.

We can help you "sell" Mobile Bay to your members with informational materials, videos, brochures and souvenirs that will peak their interest. For any guests and family members, we can suggest any number of unique sights and intriguing side trips they can take while you are meeting or otherwise tending to business.

Here is a detailed list of services we offer:

Pre-convention Planning: The success of your meeting depends largely on its early groundwork. The Convention Services Department will assist you in finalizing details of your meeting and convention needs. We can assist you in planning entertainment, such as a variety of theme parties at area attractions, spouse and youth activities, and introduce you to key people in our city to help make your convention a success.

Spouse and Youth Activities: Your accompanying guests will find plenty of entertainment during the hours you are in meetings. In addition to the local attractions to explore, Convention Services can assist you in arranging a number of delightful and exciting spouse and youth programs.

Attendance Builders: The Convention Services Department can assist in providing the proper materials to help boost the attendance for your Mobile Bay meeting. Requests can be made through the Convention Services Department to our industry partners who can provide informative material to promote your meeting.

Housing: When your meeting requires two or more hotels or four hundred rooms on the peak night for housing delegates, Convention Services will act as your housing coordinator. Delegates should send their housing request forms directly to the Convention Services Department. We will then assign accommodations based on preference and availability. A standard housing form should be used, which we can assist you in the design and will provide you with accurate reports.

Publicity: The MBCVB's Communications Department can offer valuable suggestions for media coverage of your meeting. We will provide a publicity list which includes a list of newspaper, television and radio stations in the Mobile Bay area. Additional publicity is provided through a list of scheduled conventions, which the MBCVB releases to area media on a regular basis.

Registration Assistance: The MBCVB takes pride in its registration personnel. Our experienced registration staff is poised and knowledgeable in working with convention delegates and handling all registration duties. Among the services they provide are badge typing, city information clerks, exhibit registration and pre-registration clerks. Registration assistance will be provided based on rooms and convention needs. Request for registration assistance can be made 30 days prior to your meeting.

Badges: Official Mobile Bay Convention and Visitors Bureau 4" X 2 1/2" inserts with plastic pin-on badges are available to you at a nominal cost. If you would like your name badges prepared prior to registration, Convention Services will laser print them for you before your meeting opens at a nominal fee.

The Right Spot: We will provide you a detailed brochure of special and unique venues for you to hold special events, dinners, receptions and parties.

Brochures: The MBCVB has information on Mobile Bay's attractions, dining and entertainment. For your convention delegates' convenience, we will stock your registration area with an adequate supply of our brochures.

Plastic Bags: Plastic Bags are available to convention groups based on room pick up. The bags are popular items for packaging pre-registration materials. Azalea Trail Maids / Crew Mates: Convention Services may request the appearance of the world famous Azalea Trail Maids and Crew Mates. A request must be submitted to Convention Services six weeks prior to your conference in writing. These items or services are subject to change without further notice.
