POSITION: Executive Coordinator
SUPPORTED BY: Vice President of Finance & Administration
Visit Mobile is looking for a professional, energetic, and optimistic addition to its administration team. The Executive Coordinator will join the team to assist with various office and meeting needs to support the Executive Team in a variety of administrative needs. This is a full-time, hourly position primarily during standard business hours (Monday - Friday, 8:00 - 5:00) but there may be exceptions
ACCOUNTABILITIES & DUTIES:
-- Support of the Visit Mobile Executive Team to include various meetings setup, catering needs, meeting minutes, expense reports, gifts, event planning support, mailers, etc.
-- Support of the Visit Mobile Board of Directors to include list management, meeting setup, catering needs, meeting minutes, board member contact lists, orientation package, mailers, etc.
-- Support of the Mobile Area Lodging Corporation (MALC) Board of Directors to include meeting setup, catering needs, meeting minutes, member contact lists, mailers, etc.
-- Support of the Visit Mobile general office needs to include ordering specialty items, deliveries, staff contact lists, event details, staff morale activities, data organization and/or entry, etc.
The above accountabilities and duties are just a guide and are not necessarily the only initiatives this position will be involved in. This person may also be asked to participate in other special projects, community outreach and events, travel locally to deliver or pick up materials, and strategic planning support as determined by the President & CEO and/or Executive Team.
EDUCATION / EXPERIENCE:
-- High school graduate with a minimum of two years of administrative assistant experience or acceptable business school training.
-- Bachelor's Degree a bonus.
-- Knowledge of hospitality and tourism is a plus.
KNOWLEDGE, SKILLS, ABILITIES REQUIRED:
-- The ideal candidate would be dynamic, quick-thinking, self-motivated, dependable, enjoys collaborating / teamwork, and is a strong multi-tasker with outstanding time management skills.
-- They should also be an effective communicator, possess excellent writing skills, and be able to have some fun - It is the tourism industry, after all!
-- Strong organizational skills are a MUST.
-- Proficiency with MS Office Applications (Word, Excel, PowerPoint, Outlook) is required.
-- Experience in CRM Database systems is a plus.
