POSITION:    Accounting and Business Manager

SUPPORTED BY:  Vice President of Finance & Administration

EDUCATION/EXPERIENCE: Bachelor’s Degree preferred in Accounting, Finance or Business Administration.  Proven financial management experience of three or more years with demonstrable knowledge of accounting principles, computer-based spreadsheets and accounting software. Must have exceptional communication skills and be able to work well with others and perform responsibilities with minimum supervision. Some human resource experience also preferred.

POSITION SUMMARY:   The Business Manager will perform accounting, human resources, payroll and computer/technology functions and assist in completing assigned responsibilities.

PRINCIPAL ACCOUNTABILITIES

  • Assists in all aspects of accounts payable, accounts receivable, payroll, tax filings, general ledger closing, annual audit as directed.
  • Performs accounts payable and accounts receivable duties by entering invoices and checks into Concur and Sage software systems.
  • Reconciles various bank account and credit card transactions.
  • Prepares monthly journal entries, runs month end journals, ledgers and reports.
  • Reconciles various general ledger accounts. Assists in preparation of monthly financial statements.
  • Processes check requests and expense reports from staff and issues computer check within established deadlines.
  • Arranges for enrollment of eligible staffing corporate insurance plans.
  • Keeps team member handbook and team member reviews updated.
  • Performs other duties as required. Assists President/CEO and Senior Vice President with special projects as requested.


This is a newly developed role within Visit Mobile and will continue to develop to support the needs of the organization. The above responsibilities and duties are just a guide and are not necessarily the only initiatives this position will be involved in. This person may also be asked to participate in other special projects, community outreach and events, some travel required and strategic planning as determined by the President and Vice Presidents and/or other organization leaders and teammates.

POSITION:                   PART-TIME VISITOR INFORMATION SPECIALIST (VIS)

SUPPORTED BY:         Vice President of Conventions Sales

 

POSITION SUMMARY: 

The Visitor Information Specialist (VIS) is responsible for assisting visitors, answering questions about the city and regional areas of interest and providing directions as needed. The goal is to enhance the visitor’s stay resulting in an exceptional experience, increasing the likelihood that they will stay longer, recommend Mobile to others and return for future visits. This position serves as direct liaison with our local hospitality community and represents the City of Mobile and State of Alabama.

 

PRINCIPAL ACCOUNTABILITIES FOR EVENTS:

  • Dress in Visit Mobile logo tops and/or wear name badges at all times as provided by Visit Mobile
  • Confirm your ability to work the scheduled events within 3 days of being contacted by the designated Visit Mobile staff member (usually the Visitor Services Manager)
  • Contact the designated Visit Mobile staff member if you are unable to work your scheduled shift in a timely manner (one week prior for non-emergency situations)
  • Arrive at the venue on time. Call the designated contact at Visit Mobile if you are going to be late
  • When working registration during conventions, report directly to the Meeting Planner
  • When working registration at the Tennis Center report directly to the VIS in charge or Tennis Center Staff
  • When working any other events report to the appropriate event leader
  • Keep the booth and/or registration table neat and attractive. Re-stock as needed
  • When working as a team, rotate breaks and lunch hours to keep the booth staffed
  • For an 8-hour day, if permitting, you are allowed two 15-minute breaks and a one-hour lunch period (check with event planner)
  • Direct any concerns to the Vice President of Conventions Sales
     

NECESSARY KNOWLEDGE, SKILLS & ABILITIES:

  • Intermediate knowledge of places of interest, activities, special events, transportation, dining and lodging in Mobile and the surrounding area
  • Basic computer skills with email and internet search skills a must
  • Ability to navigate the Visit Mobile website and to direct guests to the website as needed
  • Ability to direct guests to the Visit Mobile social media platforms as needed
  • Proactively carry out job requirements without direct supervision
  • Effective communication and customer service skills both in-person and on the telephone
  • Ability and commitment to work with a diverse group of individuals
  • Maintain a friendly demeanor, treating all visitors and staff with respect and courtesy, handling negative situations with tack and diplomacy
  • Ability to interact with people in a high energy, fast-paced, busy environment
     

PHYSICAL DEMANDS/WORK ENVIRONMENT:

This position may require the need to be exposed to moderate to high levels of noise, temperature fluctuations dependent on outdoor weather and high levels of contact with the general public. Continuously required to hear and respond to verbal cues, and to see and respond to visual cues. Each shift requires a mix of light bending, walking, standing and sitting, as well ability to lift 30 lbs.   
 

EDUCATION/EXPERIENCE:

  • College Degree preferred
  • Minimum of three years’ experience in the hospitality industry
